Assistant Admin Officer

Employment Information

Job Objective

  • Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.

Key Roles and Responsibilities

Main Responsibilities.

  • Ensure the timely delivery of official letters and information within the company.
  • Retrieve documents from the filing system.
  • Prepare and modify documents including correspondence, reports, drafts,memos, and emails.
  • Control the outward letter numbering and issuance.
  • Tracking fixed assets uses serials numbered asset tags, which are label often with codes for easy and accurate reading
  • Fix and maintain mechanical equipment, fixed assets, buildings, and office machines.
  • Manage fixed assets serials numbered asset tags, delivered to new employees.
  • Prepare and maintain vehicle-related documents that are communicated with governments.
  • Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Communication with the relevant vendor.
  • Document the process flow.
  • Monthly report to HOD.

Other Responsibilities

  • Other related tasks upon the Manager’s instruction

Job Requirements

Experience

  • Minimum 2 years of working experience in the relevant field.
  • Computer skills and knowledge of relevant software.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Knowledge of principles and practices of basic office management.

Competencies

  • Communication skills – written and verbal.
  • Microsoft Office 365.
  • Information gathering and information monitoring.
  • English Language
  • Teamwork

Qualifications

  • A University Degree
  • Sound knowledge of Asset Management Software
  • Advanced Excel
