Job Objective
- Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Key Roles and Responsibilities
Main Responsibilities.
- Ensure the timely delivery of official letters and information within the company.
- Retrieve documents from the filing system.
- Prepare and modify documents including correspondence, reports, drafts,memos, and emails.
- Control the outward letter numbering and issuance.
- Tracking fixed assets uses serials numbered asset tags, which are label often with codes for easy and accurate reading
- Fix and maintain mechanical equipment, fixed assets, buildings, and office machines.
- Manage fixed assets serials numbered asset tags, delivered to new employees.
- Prepare and maintain vehicle-related documents that are communicated with governments.
- Developing, reviewing, and improving administrative systems, policies, and procedures.
- Communication with the relevant vendor.
- Document the process flow.
- Monthly report to HOD.
Other Responsibilities
- Other related tasks upon the Manager’s instruction
Job Requirements
Experience
- Minimum 2 years of working experience in the relevant field.
- Computer skills and knowledge of relevant software.
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
- Knowledge of principles and practices of basic office management.
Competencies
- Communication skills – written and verbal.
- Microsoft Office 365.
- Information gathering and information monitoring.
- English Language
- Teamwork
Qualifications
- A University Degree
- Sound knowledge of Asset Management Software
- Advanced Excel
